Secretary (Temp position)

Responsibilities
·         Managing of teams's calendars for internal and external meetings, viewings with prospects, booking of meeting rooms and showsuits, email invites, lunch appointments and reservations
·         Attending to public enquires on leasing of vacant office space and to provide prompt and accuate information to caller
·         Handling of propects' registration, maintaining and updating contact database and cold calls database
·         Assisting and ensuring accurate and  timely events co-ordination is implemented  successfully
·         Consolidating of weekly cold call lists and minutes taking
·         Assist department head in preparation of papers, presentations and reports; co-ordination / administration of department activites.
·         Handle claims and reimbursements, travelling, exhibition and conference related booking including necessary follow up
·         Assist in lease documentation, administration of expenses, invoicing, payment and project related matters
·         Emailing of newsletters to propects and agents
·         Arranging of viewings at sales gallery / showsuite
·         Covering of duties for marketing assistant and receptionist in their absence

Requirements
·        Must have minimum  2 to 4  years experience in secretarial support role
·     Possess at least ITE / GCE A level / Diploma and a private secretarial certificate
·         It will be good to get someone who have experience doing secretarial support work in Marketing or property agent departments.
·         Able to commit 4 months
