Temporary Admin Support (5 Oct 2009 - 25 Jan 2010)
Responsibilities:
Provide full secretarial and administrative support to an Associate Director
Providing administrative support
Managing of work calendar, schedule, organize internal / external meetings, organizing telephone / video conferences and appointments
Prepare meeting agenda and record minutes
Make travel and hotel arrangements
Processing of expense and travel claims
Update and maintain proper filing records
Handle and maintain general office administration such as office supplies, pantry supplies, phone system, courier service, water cooler renewal of contracts / warranties etc.
Oversee office cleaners, office vendors and building management office
Assist to verify invoices and coordinate with Finance department
Keep record of staffing sheet, timesheet and leave balances
Maintain standards of strict confidentiality with respect to all matters and documents
Ad-hoc duties assigned by an Associate Director
Key competencies/skills:
Good proficiency in MS office applications
Possesses excellent communication & interpersonal skills
Well-organized, detail-oriented and discreet in handling confidential matters
Collaborative, team-worker and diplomatic
Education:
Diploma in any discipline
